Adding a Printer to your Computer

Overview

The College maintains copiers and printers throughout the organization.  Using HawkPRINT, users can print to any available device on the network.  Additionally, using PaperCut Print Deploy Application, users can simplify connecting to any network printer in the organization.

Printer Types

There are two types of printers, Direct Printers and Secure Release.  The differences are outlined below.

Printer Type Features
Direct Print You usually experience direct printing at home or in a small workplace.  You press print, and the document immediately starts printing to the device.  Direct printing means the client device talks directly to the printer, automatically printing when you press "Print."  Please note that Direct Printing is the only way to print to a Lexmark or a dedicated printer.
Secure Print Release

Secure Print Release is a way to print your documents securely and conveniently without worrying about sending them to the wrong printer or leaving them unattended in the output tray.  Instead, printing to a Secure Print Release queue sends your documents to a virtual hold and release queue, then release print jobs at a  copier of your choice by logging on to the copier using your ID Card, PIN code, or username/password. 

NOTE: It is recommended that Secure Print Release be used instead of Direct Printing since it gives you the most flexibility in where, when, and how your print jobs are printed.

Every Windows computer has the Print Deploy application already installed.  By default, every computer has the following Secure Print Release queues installed.

  • \\hawkprinting.hccfl.edu\BlackandWhite
  • \\hawkprinting.hccfl.edu\Color

Using Print Deploy

  1. The Print Deploy application is installed by default on college computers.  The application can be found in the System Tray on your computer if the application is installed.

     

  2. Right-Click on the Print Deploy System Tray icon and click on View my printers.  You can also click on Refresh my printers to update the app with the most recent list of printers on the network.


     

  3. After clicking View my printers, the Print Deploy application will show all the printers configured and installed by Print Deploy.  Printers that can not be removed will have the delete icon greyed out.

Installing the Printer using Print Deploy *RECOMMENDED*

NOTE: All Toshiba devices have an ID label affixed to the front.  The label has a unique ID for the device.  The ID is the letter F or P followed by a five-digit number (e.g., F01234).  You will need this ID number to search for or configure your computer to print.  The images below show Toshiba Device IDs.
 
   
  1. With the Print Deploy application open, click Add printers on the widow's left.  The application will show the list of printers on the network that are available to you.  At the top right corner of the screen, you can use the search field to search for the computer by name.  Use the device ID from the label on the device to search.


     

  2. Once you have found the printer or copier you want to send your print jobs to, click the Install button.  The application will notify you once the device has been installed on your computer and be available for use.

Installing the Printer using Windows Settings

  1. Open the Windows Start menu.  This is the button in the bottom left corner of your screen that is shaped like the Windows logo.  Then click on Settings.  This is the gear-shaped icon just above the power button in the Start menu.

  2. From the Windows Settings screen, click on Devices to begin setting up the printer.


     

  3. From the left menu, select Printers & Scanners to search for the printer to connect to.


     

  4. On the Add Printers & Scanners screen, click the icon to Add a printer or scanner.


     

  5. Windows will begin to search the network for printers.  As Windows starts to search, scroll down the list of printers until you see the option "The printer that I want isn't listed."  Click on this option to Find the printer by Toshiba ID.


     

  6. Select "Select a shared printer by name." 


     

  7. All of the printers are found on the Hawkprinting server.  Please copy and paste the \\hawkprinting.hccfl.edu\ into the dialog box below.  Begin typing the Toshiba printer ID as shown below and select from the list of filter devices.  In the image below, the letter F was used to start filtering.  Or, you can type the complete printer ID for the printer you want to connect to.


     

  8. After finding the Toshiba on the Print Server, click Next to add the printer.


     

  9. Click Next to complete the installation.  On the Final Screen, click Finish to close the window.
