Accessing Group Mailbox in Outlook

Introduction

A shared or group mailbox makes it easy for a group of people to monitor and send emails from a public email address like info@contoso.com.  When a group member replies to a message sent to the shared mailbox, the email appears to be from the shared address, not the individual user.  There are two methods to access a Shared mailbox: Using the Outlook client and using Outlook for the web,

Outlook Client

  1. In the Outlook application, click on the File menu option.

  2. Click on the Account Settings drop-down and choose Account Settings.

  3. This will open the Account Settings Box.  Make sure your email address is highlighted, and click on Change.

  4. This opens the Exchange Account Settings box.  Click on More Settings in the bottom left-hand corner of the settings box.

  5. This opens the Microsoft Exchange dialog box.  Click on the Advanced tab.  Click the Add Button to add the email address of the mailbox you want to add to your account.​​​

  6. Type the email address in the Add Mailbox text box.  Click OK

  7. Click OK at the bottom of the Microsoft Exchange dialog box.

  8. Click Next.

  9. A dialog box will appear informing you of the successful update of your account and that you need to restart the Outlook client for the change to take effect.  Click Done and proceed to close and re-open your Outlook Client.  Once you re-open the Outlook client, the group email box will appear in the mail list to the right.

Outlook Web

  1. Open your browser and navigate to the URL for the group mailbox you want to access.  The format of the URL is https://outlook.office.com/mail/<mailbox email address>.  For example, to open the mailbox for groupmailbox@hccfl.edu, you would use the following URL:  https://outlook.office.com/mail/groupmailbox@hccfl..edu.
