How to Set Up Your Voicemail Greeting
- Navigate to Settings by clicking the More options menu (the three dots ...) at the top right of your Teams window, next to your profile picture, and then select Settings.
- In the Settings menu, select Calls. Under the "Call handling and forwarding" section, click on Configure voicemail to open the voicemail management options.
- You can set your greeting preference. You have two options:
- Record a greeting: Click Record a greeting to record a custom message in your own voice.
- Text-to-speech: Type a message in the "Your custom greeting" box for a text-to-speech synthesized voice greeting. You can also set a separate text-to-speech greeting for when your out-of-office is active.
- Under "Choose what happens when the call is redirected to voicemail," you can set your call answer rules. Choose from the following options:
- Let the caller record a message
- Let the caller record a message or be transferred to someone else
- End the call without playing your greeting
- Play your greeting and end the call
- Transfer the call to someone else
If you choose an option that involves transferring, you will need to enter the name or number where the call should be forwarded.
- If you use the text-to-speech greeting, you can also manage an out-of-office greeting. You can set this greeting to play all the time or only when your Outlook automatic replies are on.
How to Check and Manage Your Voicemails
- Voicemails you receive are stored in the Calls app in Teams. Go to the History section and select the Voicemail filter to see all your messages.
- Click on any message to play it. The playback controls and a transcript (if available) will appear in the Details pane on the right.
- Click the More options menu (...) next to a voicemail message to see additional actions:
- Call back
- Mark As Read / Mark as Unread
- Delete
- Add to speed dial
- Add contact
- Block
- A copy of each voicemail, including an audio file attachment and a transcript, will also be sent to your Outlook inbox. You can listen to or read your messages directly from the email.
